This notice explains how Vizard collects, uses, stores, and protects information when you use the Vizard Discord verification bot. It supplements the Vizard Privacy Policy.
What the bot does
The Vizard Discord verification bot provides account verification and role-based access management for members of the Vizard Discord community.
When a new member joins the Vizard Discord server, the bot checks the designated verification channel and ensures that the public verification message is available. Members can click the Verify button and sign in to their Vizard account to link their Discord account to their Vizard account.
After successful verification, the bot assigns the appropriate Discord role based on the member’s Vizard account and subscription status. If the subscription status changes, the bot may update the corresponding Discord role so that access to community channels and resources remains accurate.
Information we process
To provide account verification and role management, we may process and store:
Your Discord user ID;
Your Discord username;
The Discord server ID;
The Discord role assigned to your account;
Your associated Vizard account ID.
The bot does not read or store Discord message content and does not access Discord presence or activity information.
How we use this information
We use this information to:
Maintain the public account-verification entry point in the Vizard Discord server;
Link a Discord member to the correct Vizard account;
Verify the member’s Vizard account or subscription status;
Assign, remove, or update Discord roles;
Maintain access to the appropriate community channels and resources;
Troubleshoot verification or role-synchronization issues;
Protect the security and integrity of the verification process.
We do not sell Discord data or use it for third-party advertising.
Data storage and retention
The account-linking record is stored in Vizard’s systems outside Discord. It may be retained for more than 30 days while the Discord and Vizard accounts remain linked so that the bot can maintain the correct role when the member’s subscription status changes.
The linking record is deleted when the accounts are unlinked, when the member leaves the server, or when the associated Vizard account is deleted, subject to any limited retention required for security, fraud prevention, or legal compliance.
Stored data is encrypted at rest using AWS Key Management Service encryption.
How to request deletion
You may request deletion of information associated with your Discord verification by emailing [email protected] to submit a request.
Please include your Discord user ID and the email address associated with your Vizard account so that we can identify and verify the relevant account. After the request is verified, we will delete the account-linking record and remove the associated Discord role.
Data security
Vizard uses administrative, technical, and organizational safeguards designed to protect information processed through the Discord verification bot. Discord-related data stored in our production database is encrypted at rest.
Changes to this notice
We may update this notice when the bot’s functionality or data practices change. The “Last updated” date indicates when this notice was most recently revised.
